Associational Operational Guidelines

1.
BOARD MEMBERS:
*Are groups, not individuals. The only individual
elected will attend the board meeting not the whole group. During Board
meetings, the Board member carries 1 vote for the entire group, During general
assembly meetings, each individual member has one (1) vote.
Association meetings conveys the entire groups position, and carries only one
(1) vote.
*Are elected at the associational meeting held in April every
two years. The outgoing vice president will organize and hold the
election. Board members will consist of singing members only. All
board members may be re-elected if so chosen. The officers will rotate out
every two (2) year.
*There shall be board members as follows:
1 – President, non-voting, except to break ties
1 – Vice President
1 – Treasurer
1 – Secretary
2. MEMBERSHIP:
*Those desiring to be member
of our association are asked to submit an audition Tape/CD, or audition in
person, and submit statement of purpose to the board for approval. Once
approved by the board, they will be presented to the rest of the association,
and if approved by the association, they will receive a copy of the
Associational Guidelines.
* Lapsed
members may be brought back into the Association by vote at regular meetings
without the board reviewing tape/CD prior to the vote.
3.
ASSOCIATION REGULAR MEETINGS:
*The association’s meetings will be held
on the third Thursday at 7:30 every month. The Sings will count as a meeting for
that month; the September meeting will be the annual Fish Fry/Bar-B-Q,
concluding in December with the annual Christmas Party.
*The association
will attempt to sponsor about six (6) singing events during the year.
These sings will be held in January, March, May, July, September and November.
Additionally we will sponsor several other special fellowship building
events during the year such as the annual Fish Fry and a regular Thursday
meeting at a restaurant.
*Each member understands and agrees that it is
mandatory that each group be represented at the monthly meetings. A part
of membership into the association is the understanding that the meetings are of
the utmost importance and agree to have someone from the groups to be present as
often as possible.
*Motion
was made, seconded, and passed, to not allow people who are not members of
groups, nor the association, to sing with groups/soloists.
*A member of
a group or duet or the soloist or an authorized person needs to call the
associational secretary or a board member as soon as possible if a cancellation
is necessary in you time slot at an associational sing.
4. YEARLY
DUES REQUIREMENTS:
*Shall be due yearly by April 30th, to the treasurer
of the association.
Singing members……Soloists……$15.00; Groups………………..$25.00
Non-Singing members ……..….$5.00
Note: Dues will be prorated from
the time joined to the annual dues (April) are due.
*If dues are not
paid by April 30th, the member will be transferred to an inactive and cannot
participate in future sings until dues have been paid.
5. SINGING
EVENTS:
*Association members that actively participate in the
association’s singing events should sing Gospel Music.
* *All
groups, including soloists and duets must attend regular meetings to sign up or
call a board member or other singing member of the association prior to the
sign-up meeting in order to be able to sing at associational singing events. If
a member/group misses two(2) meetings in a row, without calling, they will not
be able to sing at the next singing event until they have attended a sit down
meeting.
* Association members understand that as a member of the
organization they must support the associational sings. This means that
even if they are not scheduled to sing, they should attend these sings and
support their fellow members.
*Sign up must be in person, or by a member
representative for singing time slots for their group only. The signup
sheet will be broken down into 15 minutes increments with a total of 30 minutes
using two time slots. This will be done in a round robin manner.
*If you are signed up to sing….be prepared in case your time slot is moved up
earlier. If this happens and you miss your time, the sequence will
continue on and you will be added back in at the end.
*All members who
are scheduled to sing at the associational sing must show up for sound checks at
least one hour prior to the beginning of the sing. Sound checks will stop 15
minutes before start time for prayer.
*Primary equipment to be used
during the sings must be set up at least two hours prior to the start of the
sing for sound checks to begin. If another group wants to set up their
equipment, the same conditions apply. No other equipment can be set up
during the course of the sing.
*Singing event time slots will be as
follows:
Number of songs or a time limit…..decided by whichever comes first 5
songs……..or………….14 minutes
*An electric lighting device will indicate your remaining time. A
red light indicates STOP at the conclusion of the song you are singing.
*Any special equipment a groups needs to support their singing will be set up,
connected, and tested out up to one (1) hours before the event starts that day.
*The following equipment will be provided for your use for the duration of
the event. Request maximum use of this equipment to help minimize
confusion and maintain an atmosphere of professionalism.
***Mixing
Console, connected in the rear of the facility via use of the Association’s
snake, with 5 microphones available.
***Mini disc, cassette and CD
players
